What this role covers

Helping Companies places remote service coordinators who manage work orders end to end, schedule preventive maintenance against contract obligations, track warranty and callback work, and keep the paperwork trail complete enough to bill from.

Who it is for

Remote service coordination is a fit when the service department is profitable in theory and leaking in practice.

Mechanical and specialty contractors carrying preventive maintenance agreements that need scheduling against contract terms. General contractors with a warranty obligation after handover, where callbacks are handled informally and never recorded. Service divisions where completed work sits unbilled because the paperwork was never closed out.

It is distinct from dispatch: dispatch owns today, coordination owns the contract, the record and the money that follows from it.

What it fixes

Completed service work sitting unbilled because closeout never happened
Preventive maintenance visits missed against contract obligations
Warranty and callback work handled informally and never tracked
Service agreements renewing late or lapsing unnoticed
No reliable record of what was done, when, and under whose contract

What the role handles

A remote service coordinator owns the record and the follow-through, so service work is scheduled, documented and invoiced instead of remembered.

Work order creation, tracking and closeout
Preventive maintenance scheduling against contract terms
Service agreement administration, renewals and escalations
Warranty and callback tracking and resolution follow-up
Technician report collection and documentation
Customer communication on scheduling and completion
Billing handoff with complete supporting documentation
Equipment and asset history record keeping

What you get out of it

The value is recovered revenue: service work that gets scheduled, documented and invoiced instead of quietly absorbed.

Invoice completed service work instead of writing it off
Meet preventive maintenance obligations before they become disputes
Renew service agreements on time rather than after they lapse
Build a warranty and callback record that holds up in a dispute
Give technicians and managers back the administrative hours

How it works

The engagement starts from your service agreements and how work currently gets from completion to invoice.

01

Consultation

We review your service agreement base, current work order volume, and where work is being lost between completion and billing.

02

Role definition

We agree a written scope: which contracts and work orders the role owns, what triggers escalation, and how the billing handoff runs.

03

Placement

We present pre-screened coordinators matched to the defined role, and you interview and choose the professional who fits your team.

04

Onboarding and ramp-up

System access is set up, the existing contract base is reviewed for gaps, and scope expands as your team gains confidence in the output.

Questions about this role

If something here is specific to how your projects run, raise it on the consultation.

What does a construction service coordinator do?

A service coordinator creates and closes out work orders, schedules preventive maintenance against contract obligations, administers service agreements and renewals, tracks warranty and callback work, collects technician reports, and hands complete documentation to billing.

How is this different from a dispatcher?

A dispatcher owns today: who goes where, in what order, and what happens when an emergency lands. A service coordinator owns the contract and the record: whether the maintenance visit was owed, whether the work order was closed properly, and whether it reached billing with what an invoice needs. Larger service departments run both.

Can a service coordinator work in our field service software?

That is the intended setup, working inside the platform your service department already runs rather than in a parallel spreadsheet. Proficiency in the specific platform the position requires is set as a requirement before recruiting begins, and candidates are screened against it.

Will the coordinator handle invoicing?

The role prepares the handoff: work order closed, technician report attached, contract coverage confirmed and documentation complete, so invoicing is not reconstructing what happened. Whether the role also raises the invoice depends on how you scope it and is agreed while the position is being defined.

What hours can a service coordinator cover?

Coverage is concentrated in Eastern Time, where our availability is widest. Central, Mountain and Pacific Time are also supported, and in those cases the availability of the professional is confirmed against your working hours before any candidate is presented. Roles can be part time or full time.

How quickly can a service coordinator start?

Within a maximum of approximately two weeks we can normally present three to five pre-selected candidates who meet the requirements of the position and are ready to be interviewed. The final hiring time from there depends mainly on how quickly your own evaluation and decision process moves.
